How American Time Connected Epicor to WooCommerce — and Eliminated Manual Order Entry

The Challenge

American Time’s WooCommerce store and Epicor ERP were completely disconnected. The team was manually re-entering orders from the website into Epicor, managing product data in two places, and had no way to give customers real-time visibility into their orders or invoices. The VAR partner program had no digital infrastructure at all.

  • Product data maintained separately in WooCommerce and Epicor
  • No customer self-service portal — every invoice request went through customer service
  • VAR partners had no centralized resource portal — assets distributed via email
  • InCloud subscription management fragmented across multiple interfaces

What I Built

  1. Epicor Sync Plugin — custom WP plugin connecting to Epicor BAQ Services and OData REST API. Pulls products, pricing, and customer data into WooCommerce on schedule.
  2. Order Push Integration — WooCommerce orders automatically push to Epicor as sales orders with full line-item mapping, customer matching, and new customer creation.
  3. VAR Partner Portal — role-based portal for value-added resellers. Document library, product resources, pricing access, and automated welcome email workflows.
  4. Customer Account Dashboard — front-end portal pulling live order history and invoice data from Epicor API. Print-ready invoice templates matching Epicor AR Invoice PDF format.
  5. InCloud Subscriptions Plugin — consolidated subscription management with duplicate prevention, UI cleanup, and cron-based sync with Epicor reservation data.
  6. WooCommerce Shipping Recovery — diagnosed and resolved a critical SOAP timeout issue causing complete shipping outage. Root cause: Epicor AdvancedWare server firewall blocking WP Engine outbound IPs.

The Outcome

  • Eliminated manual order entry between WooCommerce and Epicor
  • VAR partners now self-serve for resources and product information
  • Customers access their own order history and invoices without contacting support
  • Subscription management consolidated into one admin interface
  • Zero recurrence of the shipping SOAP timeout outage following IP whitelist fix
